1. Introduction

The Internal Complaint Policy of Rajarshi Rananjay Sinh Institute of Management & Technology is designed to foster a safe, inclusive, and respectful environment for all members of the college community. The policy aims to prevent and address discrimination, harassment, and misconduct, ensuring complaints are resolved fairly, promptly, and through a well-defined internal complaint mechanism.

2. Scope

2.1 Applicability:

This policy applies to all students, faculty members, administrative staff, support staff, and any other individuals associated with the institute.

2.2 Types of Complaints Covered:

• Discrimination based on gender, caste, religion, disability, or any other grounds
• Harassment including sexual harassment, bullying, or intimidation
• Any conduct violating the dignity, rights, or well-being of institute members

This policy follows AICTE guidelines and the Prevention of Sexual Harassment of Women at Workplace (POSH) Act to ensure a safe and inclusive environment.

3. Definitions

• Complainant: An individual who files a complaint alleging misconduct or harassment.
• Respondent: An individual against whom a complaint is filed.
• Confidentiality: Protection of identity and information related to the complaint.
• Misconduct / Inappropriate Behavior: Any discriminatory, abusive, or harassing conduct.

4. Complaint Redressal Procedure

4.1 Lodging a Complaint

• Complaints may be submitted in writing or via email to the Internal Complaint Committee (ICC).
• Complaints should preferably be lodged within 90 days of the incident.

4.2 Acknowledgment

• The ICC shall acknowledge the complaint within 7 working days.
• Confidentiality and protection against retaliation shall be ensured.

4.3 Initial Assessment

• The ICC will assess whether the complaint falls within its scope.
• If outside the scope, it will be referred to the appropriate authority.

4.4 Investigation

• A fair, impartial, and confidential inquiry shall be conducted.
• Both parties may present evidence and witnesses.
• The inquiry shall be completed within 30-60 days.

4.5 Recommendations

The ICC shall submit its findings and recommendations to the Head of the Institute, which may include disciplinary action, counseling, or corrective measures.

4.6 Action and Communication

The Head of the Institute shall implement the recommendations and communicate the outcome to both parties while ensuring fairness and confidentiality.

4.7 Appeals

Either party may appeal to the Appellate Authority within 15 days of the decision.

4.8 Confidentiality and Protection

• Strict confidentiality of all records and identities shall be maintained.
• Retaliation or victimization is strictly prohibited.

5. Reporting and Support

• Multiple reporting channels including email, online portal, and designated staff.
• Anonymous complaints may be considered.
• Support services such as counseling and guidance shall be provided.

6. Appeal Process

A separate Appeal Committee shall review appeals and issue a final and binding decision.

7. Non-Retaliation

Retaliation against any individual involved in the complaint process is strictly prohibited and shall result in disciplinary action.

8. Awareness and Training

Regular awareness programs and training sessions shall be organized to promote inclusivity, respect, and zero tolerance for misconduct.

9. Review and Updates

This policy shall be reviewed periodically to ensure compliance with applicable laws and best practices.
